There are so many elements of an office move to consider – from selecting a relocation firm to assigning a project manager to engaging employees in the process. Then, there are all of the logistics including budgeting; timelines for moving computers, servers, phone equipment and office furniture; setting up changes of address; and, ensuring a safe and secure move – the list goes on.

  • 1. Review your tenancy agreements. Perhaps you’ve outgrown your space or have recently downsized your company and it is imperative that you move as soon as possible. Even before you start looking for new office space, review your current contracts and tenancy agreements to see what you are liable for in terms of rent. There is nothing worse than signing a lease with a new landlord, only to discover that you have months or years left on your current lease.
  • 2. Consider your employees. Before you decide to relocate, talk to your employees to see how they feel about a move, especially if the new office will be a significant distance away from your current location. While this is easier to do with smaller companies, businesses of all sizes should consider the risks and opportunities of relocation. Some employees may choose to leave if the new commute is too difficult. On the same token, the new location may be closer to more of your employees, or may offer better amenities such a wider variety of eateries within walking distance, an on-site gym or workout facility, or is in close proximity to popular shopping districts.
  • 3. Downsize your furnishings and equipment. Once you have decided to relocate, take inventory of desks, tables, chairs, computers, etc. If you are planning to replace furnishings or equipment once you move, it is much easier and more cost-effective to sell or donate these items prior to moving, rather than paying to have them moved to your new space, only to dispose of them later.
  • 4. Minimize disruptions by planning ahead. When deciding the timeframe for your office relocation, look at your team’s workflow. Every business has times during the year when it is busier than others, and it is important to take those into consideration. For example, a move for an accounting firm between January 1st and April 15th would cause hardship and significantly disrupt the work of its employees during this busy time of year.
  • 5. Tell your customers, vendors and partners. It’s easy to get so wrapped up in a move that companies often forget to tell people they’ve moved. It’s important to send out a letter or e-mail to customers, vendors and partners as soon as possible, sharing your new address, phone number and other important details on your new location. Also, don’t forget to update your website, letterhead, brochures and other collateral materials with your new contact information. Finally, make sure your employees update their e-mail signatures and any social media outlets, i.e. Twitter, Facebook, LinkedIn and Google+ should also be updated right away.
