Don’t Get Spooked by Your Office Relocation

Relocating an office or business can be a stressful time, and for some a very scary experience. Don’t get spooked by your office relocation! Many of the pitfalls of moving your business can be avoided through careful planning and preparation. Here are a few tips to ensure that your move does not end in horror:

1) When hiring a professional mover, get estimates from several companies and check their references. Don’t entrust your valuable office equipment and business files to just anyone!

2) Check with your insurance company and professional moving company to make sure that you are covered during your move for any damages due to lost, stolen or broken valuables. Obtain appraisals on any high-value items to present in the case of future claims.

3) If your business is doing its own packing, be sure to purchase sturdy moving boxes, bubble wrap, newsprint and other packing materials to ensure that your items are well protected during the move, and that you don’t arrive at your destination with broken or damaged equipment or valuables.

4) Clearly label all boxes with their contents, and mark any boxes that should be opened first to avoid delays in getting to important items that will be needed right away such as computers, phones, important files, coffee and tea, snacks, etc.

5) Provide your new address to employees, customers, vendors and suppliers, creditors and the Post Office in advance of your move to avoid confusion or delay in receiving important business-related materials.

6) Store all vital documents including business licenses, insurance papers, tax and bank records, bank records in one place during the move to avoid loss or theft.

7) If required, disconnect all utilities and obtain refunds for any deposits when applicable. It is also a good idea to have the meters read to avoid confusion when the final bill arrives.

8) Ensure that your new office is clean and ready for move-in on the specified date. Arrange for utilities to be connected, and for a cleaning service, if needed. Make sure your insurance company has transferred coverage to your new office.

9) Dispose of all flammable and hazardous materials prior to your office move. Do not move gas, paint, aerosol cans and other materials that could cause a fire or other damage.
